This depends on the complexity. Simple Level 1 archival projects normally take two to three months. Large multi-team and department Level 4 projects can take a year or more.
The use of Perceptive Content is free to all UNT and UNT System departments. The only
current cost to customers is if the department chooses to purchase a scanner with
a Capture Now License. The CaptureNow License is approximately $864. This is a annual
cost paid by the department. Scanning hardware is also paid for by each department.
There are alternative ways to capture documents that can be utilized to create a no-cost
solution.
Perceptive Content is the recommended product for the UNT System, but it is not mandated.
With this being the case, you can buy a separate piece of software, but you may still
have to use Perceptive Content to access other department's documents for business
needs (i.e. Human Resources, Business Service Center).
All work done by Imaging Services has to be approved and prioritized by the governance
process. This ensure that the time Imaging Services spends working on a project is
in the best interest of the University and the students we serve.
The start time depends on Imaging Services availability as well as the functional
department’s availability. Normally you will be contacted by an Imaging Services team
member when we expect to have available time approaching. If this time is also good
for the customer, we will schedule an initial meeting. Often this is within a month
or two of governance approval.
We do not offer this service and recommend taking a hard look at what documents you
need to keep. Many departments need to purge older documents and these should not
be scanned just to be deleted.
Tiers and levels are not the same thing but they often go hand in hand. A tier defines
the type of knowledge and responsibility each customer has. A level is the complexity
of a specific project as requested by the customer. Most customers will start out
with Perceptive Content as a Tier 1 (Basic) customer doing a Level 1 (archive only)
project. They then may add workflow functionality by requesting a Level 2 project
and they may move to a Tier 2 customer at that time. This functionality requires more
time and effort from the department since the architecture is more complex. You can
be a Tier 2 customer, meaning you have workflow within your department, and request
a Level 1 project to implement a new area of your department.
The head of each department is required to sign the Imaging Services agreement. Beyond
that we hope the following people would attend the kick off meeting and be involved
in the decision making process: the business process owner, the records manager representative
for the department, the access control executive (if applicable), and the person who
will be in charge of the process (likely to become the team lead).
All departments have an imaging team lead, which is the person in the department who
understands how Perceptive Content is set up and how to troubleshoot basic issues.
They are a department’s first support level. Each department will also depend on their
IT staff (Network Managers) to help set up their computers and scanners to use Perceptive
Content. Team leads who have tried to solve an issue and still need help, can enter
an incident to Imaging Services for assistance. Team leads can also enter a service
request if they have any new functionality or changes that they need to be made to
their current architecture.
